Event terms and conditions

Bookings

Please book online at www.aop.org.uk/education-and-events/events

Bookings are 'subject to availability' and therefore we cannot guarantee you a place on any event.

Booking confirmation will be sent to you immediately for all online bookings and a reminder no later than one week before the event.

If you have not received an email confirmation within 24 hours of making the online booking, please contact the team at [email protected].

The AOP endeavours to accommodate for all delegates, however, should a delegate have any additional needs or requirements they should inform the AOP at the time of booking. For any requirements received less than one week before an event, the AOP will endeavour to accommodate them but it may not be possible.

If you have any problems or queries with your booking, please contact the events team on 0207 549 2008 or email [email protected]. The team is available 9am – 5pm Monday to Friday (excluding public holidays).

Payment terms and conditions

Unless agreed otherwise with the AOP, all bookings must be paid prior to the event taking place. We accept payment by debit or credit card.

On the rare occasion that we agree to an invoicing process, invoices must be paid within 30 days of the invoice date. Where an invoice is issued less than 30 days prior to the event, payment must be made five working days before the event date. If invoice requests are made within the five working days before the event date, payment is to be made immediately upon booking request.

Any bookings related to outstanding invoices can be cancelled at the discretion of the AOP.

Transfers & cancellations - live events only

Please note that these terms are only applicable for live (in-person) events. Please see the online events section of the terms and conditions for information on cancelling/transferring for online events.

If you cannot attend an event and it doesn’t have a waiting list, you can transfer your place to another individual by contacting the AOP Events Team. Please note an additional charge may be applicable if the new attendee is not entitled to the same rate.

If you can no longer attend an event please email [email protected] to cancel your booking.

The charge for cancelling any paid booking is:

  • 31 days or more before the event – full refund
  • 15 - 30 days before the event - 50% refund
  • Less than 14 days before the event - no refund (transfer to another individual only)
  • If the booking has been transferred from an event within the cancellation period (10 working days) from the original event, no refund will be available for future cancellations

AOP accepts no liability if an event is cancelled or postponed for reasons beyond our reasonable control resulting from an act of God, governmental regulation, fire, war, terrorist activity or civil commotion.

In the unlikely event that AOP must cancel the event, our liability is limited to a full refund of the event fee only. We will make that decision at least two weeks prior to the event so bear that in mind when booking travel and accommodation. Please be advised that we cannot be held responsible for any travel or accommodation costs incurred should an event be rescheduled or cancelled.

AOP accepts no liability if a delegate is unable to attend an event due to adverse weather conditions or any travel disruption.

Online events

Online events are run using Zoom.

To be eligible for CPD where CPD is approved for an online event, delegates must:

Webinars

  • Attend for a minimum of 60 minutes
  • Watch via a computer or handheld device. Please note that if you listen via the telephone only you will not be eligible for the CPD point

Online peer reviews & discussions

  • Participate in the interactive polls throughout the peer review/discussion
  • Attend for the full duration of the event
  • Join using a computer or handheld device. Please note that if you call in using the telephone only you will not be eligible for the CPD points

CPD will be processed in 10 working days from the date of the event.

Webinars are free of charge to AOP members unless specified on the event webpage. Non-members will be charged a fee. This fee is non-refundable but your booking could be transferred to another webinar.

If you can no longer attend a free of charge online event, you can cancel your place via the events tab in MyAOP or by emailing [email protected].

If you can no longer attend an online event with a fee attached, please email [email protected] and a member of the team will be able to assist you.

Non-attendance at AOP events

If you are unable to attend an event and do not cancel your booking or notify the AOP Events Team at least 24 hours before the event, this will be marked as non-attendance.

Delegates found to be regularly booking events and not attending or cancelling their place may be prevented from making future event bookings.

Event content

The AOP reserves the right to alter the programme, venue or speakers without prior notification.

The views expressed by any speakers at an event are their own. We shall not be liable for the views, acts or omissions of any such speaker or any other attendee at the event. Any information given or distributed as part of the event shall not constitute advice and should not be relied upon.

Promotion

AOP reserves the right to film, record or photograph any of the speakers at an event for post event purposes. Delegates are advised that this may result in incidental inclusion of delegates within any recording or photographs.

Feedback

Delegates who attend an AOP event will be asked to complete a feedback survey to help us shape future activity. Feedback will either be requested via a hard copy form at the event, or via email to those who attended following the event.
